Vextro Education Ltd ("Vextro", "we", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share personal data when you use our website, web application, and tutoring services.

1. Who we are

Vextro Education Ltd is a company registered in England and Wales. We act as the data controller for the personal data we process about parents, students, and tutors who use our services.

2. What data we collect

  • Account details: name, email, password (hashed), role, and contact phone (optional).
  • Student profile data: year group, exam board, target grade, and subject choices.
  • Learning data: quiz results, flashcard reviews, session attendance, and tutor feedback.
  • Billing data: payment method tokens (handled by our payment processor; we do not store card numbers).
  • Technical data: IP address, browser type, and cookies used to keep you signed in.

3. How we use your data

  • To provide tutoring sessions, revision tools, and progress dashboards.
  • To match students with appropriate tutors based on subject and availability.
  • To send transactional emails (e.g. session reminders, password resets).
  • To improve the platform, including anonymised analytics on feature usage.
  • To meet our legal obligations, including safeguarding requirements.

4. Lawful basis

We process personal data under the lawful bases of contract performance, legitimate interest, and where required, consent. For under-18 students, we rely on parental consent provided during account creation.

5. Sharing your data

We share personal data only with assigned tutors (for session delivery), parents (for children under 18), and trusted processors such as our hosting and payment providers, all of whom are bound by data-processing agreements. We never sell your data.

6. Data retention

We retain account data for as long as you have an active account and for up to 7 years after closure for accounting and safeguarding records. You can request earlier deletion subject to legal requirements.

7. Your rights

You have the right to access, correct, delete, or export your personal data, and to complain to the Information Commissioner's Office (ICO). Email us to exercise any of these rights.

9. Children

Students under 13 may only use Vextro with a parent or guardian account. Students aged 13–17 require parental consent at sign-up.

10. Changes to this policy

We may update this policy from time to time. Material changes will be notified by email or in-app message.
